Key takeaways
- Never share your eBay password with a VA. Use eBay Team access instead.
- Start with draft-only permissions: create and edit drafts, then review and publish yourself.
- The invited person needs their own eBay account with two-factor authentication turned on.
- Check the activity log and remove access when the work is done.
Why you should never share your eBay password
Handing over your login is the fastest way to start working with a virtual assistant, and the riskiest. Whoever has your password can change listings, see orders, message buyers and touch payout details, and eBay cannot tell their actions from yours. If the relationship ends badly, or the password leaks, your whole store is exposed.
What eBay Team access is
Team access, formerly called Multi-user account access, lets you share access to your eBay account so other people can act on your behalf. You manage their tasks and activity from a Team access dashboard. eBay describes it as working without exposing your passwords or private information. Invited people can act only in Seller Hub, and only for the permissions you grant.
What you need before you invite anyone
- You are opted in to Seller Hub (eBay requires this).
- The person has an eBay account, or will create one using the email address you invite.
- They have turned on two-factor authentication, which eBay requires for invited users.
- You are ready for them to accept soon. Pending invitations expire after 24 hours.
How to add a listing VA, step by step
- Go to the Team access page in My eBay.
- Select Add user.
- Enter the person’s name and email address, then choose their permissions.
- Select Add user again to send the invitation.
Eligible staff can use a separate eBay account, which keeps their activity apart from any personal buying and selling. eBay suggests this approach for staff.
Which permissions a listing VA actually needs
eBay lets you grant permissions one by one. Give the smallest set that gets the job done.
| Permission | Listing VA needs it? |
|---|---|
| Create and edit drafts | Yes, this is the safest starting point |
| Publish and revise listings | Only if you want them to go live without you |
| Use Product Research | Helpful for pricing and sold comps |
| View orders, shipping tracking, labels | No, unless they also handle shipping |
| Refunds, requests and disputes | No |
| Promotions, buyer groups, advertising campaigns | No |
| Member-to-member messages | No, unless you want them to answer buyers |
A draft-only setup means nothing goes live until you review and publish it, which is how most careful sellers start.
Check the activity log
eBay records each action taken by an invited person, with the date, the time and the account that did it. You can review it under Account, then Team access, then Activity. Check it after the first batch, and again whenever something looks unexpected.
Remove access when the job ends
On the Team access page you can change or remove permissions and revoke pending invitations. Remove access as soon as a project finishes, and add it again for the next one. Short, specific access is safer than leaving it open.
Red flags when hiring a listing VA
- They ask for your eBay password, bank details or payout settings
- They want payment outside the platform, such as crypto, Zelle or friends-and-family transfers
- They refuse a small paid trial before a big batch
- Their social page has a slightly different name from the one on their website (a common imposter trick)
- Their reviews cannot be checked on a platform you trust
How Glammlist handles access
We never need your main password. Most projects run from your photos and product data, and we deliver drafts or a spreadsheet for you to review. If you want us to work inside your store, we use eBay Team access with limited permissions that you can remove at any time.
Payments for Glammlist orders go through Fiverr’s protected payments. If anyone claiming to be Glammlist asks you to pay another way, email glammlist@gmail.com before sending anything. Our official profiles are Fiverr and Instagram @glammlist.

You should not. Sharing your password gives full control of your account and leaves no clear record of who did what. eBay Team access lets you invite someone with limited permissions without sharing your password.
What permissions does a listing VA need?
At minimum, permission to create and edit drafts. Grant publish and revise only if you want them to take listings live. A listing VA does not need access to refunds, disputes, advertising or messages.
How long does an eBay Team access invitation last?
According to eBay, a pending invitation expires after 24 hours, so send it when the person is ready to accept.
Can I remove a VA’s access later?
Yes. eBay lets you change or remove permissions and revoke pending invitations from the Team access page. Do this when a project ends.
Does Glammlist need my eBay login?
No. Glammlist works from your photos and data and delivers drafts or a spreadsheet. If you want us to work inside your store, we use eBay Team access with limited permissions and never your main password.
